LODGING

The following are procedures which should be followed when arranging lodging reservations for Barnard business purposes:

•  Garber Travel : It is recommended that all lodging reservations be made through Garber Travel. In case of delays or cancellations while traveling, the travel agent can be used as a 24/7 resource to rebook or confirm your arrangements, if necessary.   As Garber Travel will be processing a significant amount of Barnard business, it will be able to procure negotiated rates at those hotels frequently visited.   When making hotel reservations with Garber Travel a general Barnard account will be used for holding the reservation.   You will be responsible for using your own (personal or corporate) credit card upon arriving at the hotel.  

•  Hotel Reservations : Barnard employees should make every effort to book the most reasonable hotel taking into consideration the hotel charge and length of stay.  

•  Phone Calls : Due to the high cost of hotel phones, Barnard employees should not use hotel phones for business calls.   Either cell phones or calling cards should be used whenever possible.

Cancellations :    If your plans change and you are not going to stay at a hotel where you have a confirmed reservation, it is your responsibility to cancel the reservation in advance so as not to be charged.   You are personally responsible for "no show" charges if you neglect to do this.   Individuals should also obtain, and keep for their records, a cancellation number as proof that the reservation was cancelled.   The cancellation policies vary by property and range from 72 hours prior to 6:00pm day of arrival.   Consult the itinerary for the exact policy of each hotel.
